Practical tips concerning Calls for Nominations

The standard length of a Call for Nominations is 4 weeks. Should the time window be different, this will be specified in the Call itself and on this website. The opening and closing time of Calls for Nominations are based on the 24-hour clock format. 

Nomination pack documents

The documents that make up the Nomination Pack vary depending on each position.  However, all positions require the following:

CV

A short CV of a maximum of 2 A4 pages;

Photo

A recent head and shoulders photograph;

In addition to the above, the following filled out forms will be required.

Endorsement

The endorsement request forms require the collection of the signatures from a Proposer and Seconder*.

Acceptance of Nomination

This form will be integrated in your application.

Conflict of Interest Disclosure

This form will be available via the application.

Code of Conduct and Behaviour

This form will be available via the application.

These forms will be available within each open Call for Nomination on the MyEADV Portal.
  • Depending on the position, some Calls for Nomination may require additional documents: mission / position statement, letters of support and/or publication record.
  • The official language of the Academy is English, therefore all submitted documents must be in English to be considered valid.
  • Incomplete Nomination Packs and documents non-compliant with the Call will not be considered valid and late submissions will not be accepted.
  • We urge you once again to attentively read and familiarise yourself with the Call.
  • All email exchanges related to your nomination will be sent to the email address provided to the Academy as part of your membership profile. Consequently, please ensure this is up-to-date and valid.

Eligibility criteria

Nominee:

The Nominee must be an EADV Member in good standing and with voting rights.

Depending on the advertised position, the membership category of eligible nominees may vary. Details about eligible membership categories will be available on the Call itself.

* Proposer and Seconder:

The Proposer and Seconder must be EADV Members in good standing and with voting rights.

Nominations & Elections: additional practical information

Conduct, Behaviour and Conflict of Interest Disclosure:

Extract from article 14 of the EADV Statutes:

All candidates must agree to adhere to the Code of Conduct of the Academy, complete the Conflict of Interest statement of the Academy and adhere to the Rules governing the behaviour of candidates presenting for election as provided for in the bylaws.
Failure to do so may invalidate the candidature.

Membership qualifying period:

From the EADV Statutes, article 4. (C) – Membership

The first twelve calendar months’ membership represents a qualifying period. During this period Members are not entitled to the ordinary rights of membership, including the rights to vote, to stand for any elections, to endorse membership applications and to propose or second any candidates for election.

Annual membership fee and rights as EADV Member:

From the EADV Statutes, article 6. – Suspension of membership

Annual membership fees must be credited to the Academy by May 31 (January 31 starting with 2022). Any Member whose fee is not credited to the Academy is excluded from all rights of membership and from all benefits. Any Member whose fee is credited to the Academy after May 31 (January 31 starting with 2022) shall have his/her membership benefits restored from the credit date, and membership rights ( such as voting, standing for election, endorsing membership applications and proposing and seconding candidates for any election) restored from January 1 of the following year.

Candidate Profile and election results:

The names and countries of the candidate, proposer and seconder as well as the CV, position / mission statement, letters of support (whenever required), photograph and duly filled out and signed Conflict of Interest Disclosure Form will be made public to the voters as part of the Candidate Profile.
The name, country and photograph of elected candidates will be published on the EADV website.

Voters will receive emails from Civica Election Services (CES). Consequently, be on the lookout for emails from: @cesvotes.com.

Election supplier and privacy policies:

Elections are conducted by Civica Election Services (CES), the Academy’s longstanding supplier for online votes, and voting is conducted through a secure voting system. Board Members are elected by a secret vote, following confidentiality protocols and all votes are securely processed to ensure fairness and transparency.

EADV Code of conduct

Duties to Patients, Colleagues, and Society

Physicians of the European Academy of Dermatology and Venereology should at all times strive towards the care that is most appropriate for their patients, in the light of current knowledge.

They should strive to keep their knowledge up-to-date.

They should observe honesty and proper conduct to their colleagues, not only in Dermatology and Venereology, but through all aspects of medicine.

They should not form judgement on any professional situation until full knowledge of the facts is known.

They should be watchful in their dealings with governmental or non-governmental bodies, and commercial industry.

They should abide by these principles throughout their professional lives.

In addition, it was decided by the Ethics Committee to amend it, and add:

  1. Members of the EADV should not allow personal animosity to interfere with the collegiality or function of the EADV.
  2. Members of the EADV should not use their position in relationship to patients, professional activities, commerce and industry, governments and non-governmental organisations, for their personal advantage or personal benefit.

A “Codes of Conduct and Behaviour Form” is undersigned by the nominee as part of the nomination submission procedure. Such a Form is rendered available to all potential nominees whenever a Call is open through the Calls for nominations module on the MyEADV platform (in the members-only section under Opportunities).

EADV Code of behaviour for candidates

The candidates are prohibited from:

  • Reflecting negatively on any other candidate verbally, in print, or electronically.
  • Offering of any incentives in exchange for promise of voting support.
  • Sending any written or electronic messages related to the election during the voting period.
  • Any complaint about the electoral process must go to, and only to, the Chair of the Nomination and Election Monitoring Committee (NEMC).
  • Accepting any support of any kind whatsoever in relation to the election from a commercial organisation or from any other third party including academic and professional organisations.

This list is not exhaustive and candidates should at all times behave in a manner that reflects the highest personal, professional, and ethical standards expected from those aspiring to achieve the Academy’s highest office. Where there is doubt the opinion of the NEMC should be sought. Ignorance will not be an excuse for any activity deemed unacceptable.

Endorsements of a candidate by any sister and/or sub-speciality organisation(s) are considered inappropriate.

EADV Conflict of interest disclosure

The EADV is committed to transparency and objective decision making at all organisational levels. The Academy is dedicated to providing continuing medical education that is independent, fair, balanced and objective and free from commercial bias. In order that the Academy operates effectively for these purposes, it is important that the Academy’s decisions and actions are not unduly influenced by any special interests of individual Members. Therefore, it is important to identify actual or potential conflicts of interest in a formal way. In most cases, disclosure will be sufficient to protect the integrity of the Academy’s operations. Rarely, where disclosure is inadequate, further action may be necessary.

Academy Members in Leadership Positions (Executive Committee Members, Members of the Board, Members and Chairpersons of Committees, Chairpersons of Task Forces, Task Force Facilitator, Members and Chairpersons of Working Groups, Editors of EADV publications (the Journal of the European Academy of Dermatology and Venereology (JEADV), the JEADV Clinical Practice (JEACP) and the EADV News)) should understand that they occupy a position of trust and are expected to act at all times in the best interests of the Academy in good faith and without favour or bias and avoid even the appearance of using their positions to advance any personal interests or should not act for personal or third party gain.

These Members in Leadership Positions should submit descriptions of all personal and professional circumstances which might create a private interest in conflict with the interest of the Academy. A comprehensive disclosure of financial relationships with a commercial interest producing health care goods or services consumed or used by patients must be indicated on the form provided and signed.

Members in Leadership Positions should sign and update the following statement at least every 6 months:

“I shall act at all times in good faith and without bias and favour to interests outside the Academy. I shall always declare outside interests which could potentially conflict with my duty to the Academy and I shall not act in a way inconsistent with the purposes of the Academy.”

Members in Leadership Positions are expected to proactively update and submit the Conflict of Interest Disclosure Form should any change to their conflict of interest status occur, even before the renewal deadline of 6 months.

Course chairs and lecturers (involved in both live and non-live educational activities of the EADV), webinars, congress and symposium chairs and speakers should submit the Conflict of Interest Disclosure Form before their participation to any of these EADV activities.

The Secretary General will retain statements of potential conflict of interest in the care of the Academy’s office and he/she will make them available to the Members of the Board, if required. The Secretary General reviews the statements and if further review is required, the Secretary General will forward the statements to the Ethics Committee at the same time informing the Executive Committee of any conflict that may be significant. The Ethics Committee then initiates any request for further information informing and duly involving the concerned Member and reports its findings to the Secretary General and the Board of any items found to be particularly significant.

Any eventual conflict is disclosed by all nominees through a dedicated form, the Conflict of Interest Disclosure Form (COIDF), as part of the nomination procedure. Such a specific COIDF is rendered available to all potential nominees whenever a Call is open through the Calls for nominations module on the MyEADV platform (in the members-only section under Opportunities).

For reasons other than nomination submissions, Conflict of Interest Disclosure (COID) is available to all EADV members through their profiles (by logging into the MyEADV section of the Academy’s website and accessible via every member’s personal profile (see My Profile → COID)
